We’re Hiring: An Operations Associate
Description
Brooklyn Fi is looking to add an Operations Associate to our team.
Operations is a constantly evolving part of our business. As we grow, daily responsibilities may change; this person must be able to adapt and shift focus quickly.
You are responsible for ensuring tax returns get filed, and investment accounts are opened and funded for our clients in a timely fashion. Your secondary responsibility is to ensure you utilize our robust operations team to help; in other words, you can do and delegate.
Key Responsibilities
Generate and update training outlining our standard operating procedures (SOPs) for various operations tasks.
Resolve day-to-day issues within operations-centric Slack channels.
Oversee our internal service calendar to ensure seamless coordination of various internal tasks.
Improve upon established workflows by identifying bottlenecks and implementing feed
Effectively resolve technical questions to ensure uninterrupted workflow.
Complete investment account opening paperwork, rollovers, and transfers for clients.
Assist clients with beneficiary changes, address changes, charitable contributions, wire transfers, and other requests.
Train and supervise other team members to complete investment management paperwork.
Onboard and offboard custody clients.
Generate quarterly billing statements and invoice AUM clients.
Manage 2 tax operations assistants to ensure work is completed accurately.
Update the tax department’s Annual Service Calendar.
Draft tax operations-related client communications for review.
Provide backup as needed for our tax client support inbox.
The main tools this person will use are:
HubSpot | Maintain HubSpot by identifying gaps, updating client data, and establishing best practices.
Cognito | Build Cognito forms to meet specific requirements and achieve desired outcomes.
Karbon | Investigate and resolve issues clients and team members encounter while using the Karbon platform and the Client Portal.
Zapier | Construct, revise, and oversee Zaps, establishing automated processes across all departments with a keen eye for efficiency and accuracy.
Must Haves
Bachelor's degree
Experience with CRM and workflow management
Strong communication, interpersonal, and organizational skills
Ability to demonstrate accountability and ownership of work assigned to you
Willingness to explore and implement new software
Able to work in a fast-paced environment
Recognize when something can be delegated; delegate and elevate all day
Exhibit mastery of what you can control and be prepared for what you can't control
Approach challenging work with honesty and openness
Nice-to-Haves
Previous experience in administrative support or related roles is preferred
Prior experience working remotely
Exposure to the financial services or accounting industry
Compensation
$50,000 - $55,000 base salary plus a quarterly revenue share
Quarterly revenue share: This role would be eligible for approximately $1,000 per quarter.
